Send invoices and payment reminders

Choose what to send now, then set dates for follow-up emails.

Check who will receive the email

The email comes from the client details saved on the invoice. Check that address before issuing or resending. The email identifies your business and links to the invoice.

A draft must be reviewed and issued before it can be emailed. Saving email settings alone does not send an email.

Send the invoice

Issuing an eligible invoice queues its first email when a valid client email is available. To send that same invoice again, open it and choose Send invoice now. You can use this again when needed; a delivery that is already queued or was just sent may be reused to prevent duplicates.

Remind the client about an unpaid balance

Choose Send reminder now to send a payment reminder for the existing invoice. It shows the outstanding amount and links to that invoice. This does not create a new invoice.

  1. Open the issued, unpaid invoice and find Send to your client.
  2. Under Remind about payment, enable Send payment reminders automatically.
  3. Choose a number of days after the due date, or select a calendar date for the first reminder.
  4. Choose Don’t repeat, every day, every 2 days, every 3 days, or a custom number of days.
  5. Save email settings and check the summary.

Dates follow the time zone shown in the settings. No time selection is needed. Emails are queued on the chosen date; delivery limits or an invoice email already sent that day can delay a reminder.

Check email activity

Open the invoice and look below its sending controls for Email activity. Choose Refresh status to see the latest invoice emails and payment reminders. Queued means waiting to send; Sending means an attempt is in progress.

Sent to provider means Resend accepted the email. It does not confirm inbox delivery or that the client read it. Invoice-link views are recorded separately in Client link.

Could not send means the attempt failed. Check the client email, then use the relevant Send button above if you want to try again. Delivery unconfirmed means an attempt may already have reached the client; check with them before resending. A cancelled attempt will not be sent.

Know the difference: another invoice or another reminder

Send another invoice creates and emails a new invoice for a new billing period. It can repeat weekly, monthly, every 3 months or yearly, and each new invoice uses your plan’s invoice allowance.

Payment reminders follow up on the original unpaid invoice. To chase the same outstanding amount, choose reminders rather than repeating the invoice.

Stop future reminders

Reminders stop when the invoice is paid or voided. Record money received outside Invoqly so its balance stays correct. To stop reminders without changing the invoice’s payment status, clear Send payment reminders automatically and save the settings.

To stop creating new repeat invoices, set Send another invoice to Only when I send it and save. An email already being delivered cannot be recalled.
